Dainichi Consultant Inc. (hereinafter referred to as “the Company”) recognizes that it is our social responsibility to properly manage and protect personal information. The Company’s basic policy related to the handling of personal information has been established as the “Personal Information Protection Policy” to thoroughly ensure the protection of personal information.

1. Compliance with laws, regulations, and guidelines 

The Company shall handle personal data and information appropriately in compliance with the Act on the Protection of Personal Information (hereinafter referred to as the “Personal Information Protection Act”), other related laws and regulations concerning the protection of personal information, guidelines of the Personal Information Protection Commission.

2. Acquisition, use and provision of personal information

The Company shall endeavor to acquire, use, and provide personal information in an appropriate manner, taking into consideration of the nature and scale of its business. The company shall use personal information only for the purposes specified in advance at the time of acquisition, shall not use personal information for purposes other than those specified, and shall take measures to prevent the use of personal information for purposes other than those specified.

3. Purpose of use of the personal information

The Company shall handle personal information within the scope of the following purposes of use when acquiring personal information:

  • Provision of business information and various proposals as part of sales activities for clients, contract execution and various applications, provision of information on seminars, exhibitions, etc. held by the Company, and response to the clients’ inquiries or requests;
  • Proper and smooth implementation of contracted businesses, meetings and communications, and information sharing;

The Company shall take necessary and appropriate security control measures for the management of personal data, including the prevention of disclosure, loss, or damage.

    The Company established this Privacy Policy as a basic policy to ensure the proper handling of personal data. 
  2. Development of regulations related to the handling of personal data 
    The Company has established basic handling procedures for the acquisition, use, and storage of personal data.
  3. Institutional security control measures
    The person in charge ensures that personal data is handled in accordance with the established handling procedures.
  4. Human security control measures
    • The confidentiality of personal data is stated in the employment regulations.
    • Regular training is provided to employees on points to keep in mind regarding the handling of personal data.
  5. Physical security control measures
    • In the areas where the personal data is handled, the Company controls the entry of employees, restricts the equipment they may bring into the office, and implements measures to prevent unauthorized persons from accessing personal data.
    • The Company implements the measures to prevent theft or loss of equipment, electronic media, and documents that contain personal data, as well as measures to ensure that personal data is not easily revealed when such equipment, electronic media, etc. are carried, including within the business operation office.
  6. Technical security control measures
    • Access control is implemented to limit the range of persons in charge and personal information databases they handle.
    • The Company has put in place a framework to protect information systems that handle personal data from unauthorized external access or unauthorized software.
  7. Understanding of the external environment
    The Company shall implement appropriate security control measures when providing personal data to a third party in a foreign country, based on the understanding of the personal information protection regulations in that country where the personal data is stored.
5. Joint utilization of personal data

The Company does not share the personal information among its group companies.

6. Provision to third parties and acquisition of personal data and information

The Company shall not provide personal data to third parties without the consent of the person concerned. However, we may disclose or provide personal data in the following cases:

  1. Cases in which there is consent from the person concerned.
  2. Cases in which the information is disclosed or provided in a manner that the person cannot be identified, such as statistical data.
  3. Cases based on laws and regulations.
  4. Cases in which the provision of personal information is necessary to protect the life, body, or property of a person concerned and when it is difficult to obtain the consent of the person concerned.
  5. Cases in which the provision of personal information is particularly necessary to improve public health or promote the sound growth of children, and when it is difficult to obtain the consent of the person concerned.
  6. Cases in which it is necessary to cooperate with national organizations, local governments, or a person concerned entrusted by them to perform the affairs prescribed by laws and regulations, and when there is a possibility that obtaining the consent of the person concerned would interfere with the execution of the said affairs.
7. Responses for disclosure, correction, termination of use, and deletion of retained personal information

In cases where an individual requests for disclosure, correction, termination of use, or deletion of his/her personal information, the Company shall confirm that the individual has these rights and respond promptly without any objections.

For requests for disclosure of personal information, please contact us by phone or e-mail at the “Contact Point for Inquiries related to Personal Information Handling” below. After confirming your identity (by verifying your information with the company’s registered information), we will send our response in writing by mail to your registered address.

Upon making a request for disclosure of personal information, the applicant is required to pay a disclosure request fee (JPY 1,000).

Payment method: A written notice of disclosure will be mailed to the applicant by cash on delivery.

The disclosure request fee will not be refunded in cases where the applicant’s personal information cannot be disclosed due to reasons for refusal of disclosure as stipulated by the Personal Information Protection Act. Thank you for your understanding in this matter.
